IPF: Delivering essential services to public sector managers
Thursday, September 02, 2010
Our solutions will provide you with the power to administer your online services. We will give administrators easy-to-use tools to control how the services work and what users can do. Even though users may be familiar with web-technologies, they will require intuitive interfaces, and we will provide these.

e-People – is our User Registration and Authentication suite that we use for all our own websites. It uses email address and a user-defined password as authentication criteria. It provides registered users with the means of maintaining personal information in profiles, such as contact details and website preferences. It is integrated with our extensive databases of public bodies, and automatically recognises which organisation users are employed by. This is useful not only in allocating access rights at the organisational level, but also in analysing the use of the site and the uptake and usage of dissemination materials.

It provides users with facilities to be reminded of their credentials, and as a last resort enables administrators to email the password to users at the click of a button.

e-Roles – is our access control system that integrates with e-People. Administrators use e-Roles to define which parts of the website and which website functionalities are available to users. This can be at the organisational level, the individual level, or administrators can define groups that have certain rights and add either individuals, organisations or both to them. This provides the functionality to easily define and maintain complex access rights and permissions.

e-Events – is our meetings and event management system. Event administrators can define events, such as meetings, workshops, or conferences, and can set attributes against each event. These attributes not only include “where” and “when” the event will occur, but also “who” should be invited, “what” documents they should read, and information about how to enrol for the event. In the case of the event being a meeting, this enrolling procedure would involve:
  • accepting the invitation
  • rejecting but nominating someone else on your behalf
  • or sending apologies.
Some events such as workshops could be chargeable, and e-Events automatically creates event booking forms for these. We can provide many methods of accepting or requesting payment: by credit/debit card, e-invoice and manual invoice.

Invitees are automatically informed by email when an event or meeting is published, and event administrators or their nominees can upload and distribute event and meeting materials. The system is flexible enough to handle multiple occurrences of events without the details needing to be entered more than once, and can deal with events that last for more than a day.

Users are presented with a calendar of events and meetings. They can use the calendar interface to plan and to find events and meetings they are entitled or invited to attend, and can quickly view or upload relevant papers.

e-Content – is our core document and content management engine and provides key content and document functionality. It is highly configurable and is used by many of our other systems. Using e-Content, administrators will upload and maintain website content, including web pages, documents, images, files, and links. They will use it to upload and manage both the public-facing website, and all the materials within the Centre’s Extranet. e-Content provides content administrators with the tools to tag all website content with highly relevant metadata, that in turn makes the searching for information by users far richer and more accurate.

e-Content organises information in highly structured, yet flexible repositories and lets content administrators associate metadata and other information with content. For example, administrators can associate a particular graphic with specific content, and the graphic will appear automatically alongside the content whenever it is accessed online. Administrators can also upload their own graphics and store them in their own graphics folders for use online.

The e-Content engine will provide the functionalities for:
  • Content searching
  • Document management
  • Linking to other sites including Members and Government Change Agents
  • Creating and managing libraries of information
  • Organising and managing documents for download
  • Displaying and sharing Project Information
  • Providing up-to-date information about “Our Services”
  • Giving access to learning, training and knowledge
  • Managing news
  • Giving and maintaining information “About us”

e-Forums – is our discussion forum design and management system. This system allows administrators to easily create online discussions and define whether they are open or closed, moderated or unmoderated. Integrated with our other modules, administrators can invite users to discussions, define who can participate, who can view and who can start discussions. The interface is easy to understand and intuitive to use.

Moderators have easy to use tools to remove inappropriate content and to bar persistent offenders.

E-Consult – is our consultation design and management system that is integrated with our other modules. Administrators can use this system to design consultations. They can attach documents and alert users that consultations are being undertaken. Consultees can review documents, comment on them and attach amendments – as defined by the consultation administrator. These comments and amendments can be private or public. The consultation exercises automatically alert consulters and consultees when key inputs or interventions in the consultation exercise are required, according to the timeframes set out by the administrator during the consultation design phase.

e-Alerts – is our auto-notification system, and can be used for the generation and distribution of e-Newsletters. Integrated with e-People, e-Content, e-Forums and e-Events this system allows users to elect the frequency that they wish to be kept informed of updates on the website and Extranet.

For certain types of content, such as meeting papers, a user may elect to be informed immediately when they become available. In this instance the system will send a linked email to every user who has asked to be informed as soon as such papers become available. For other types of content, such as news, a user may wish to be informed of developments every week or fortnight. In this instance the system will précis all news developments over the last week and send a linked email to every user who has asked for this.

The précis email can take the form of an automated “e-newsletter”, and administrators can embed special content and information into these for automated dispatch to registered users.

e-Stats – is our site usage and analysis system. It is integrated with all of our modules, and provides in-depth real-time statistics and analyses of site and portal usage.
